ReportIt™ Terms & Conditions

1. Acceptance of these Terms
These Terms & Conditions govern use of ReportIt™, including ReportIt.Africa, member areas, reporting tools, dashboards, Evidence Vault and related services. Creating an account, submitting a report, purchasing a membership or otherwise using the platform constitutes acceptance of these Terms and incorporated policies.
2. About ReportIt™
ReportIt™ is an independent civic reporting, case-management and accountability platform intended to help individuals and organisations document matters, submit reports, track responses and facilitate appropriate escalation or resolution.
ReportIt™ is not a court, tribunal, government department, organ of state, regulator, law-enforcement agency or administrative authority. It does not itself exercise governmental or administrative power or determine the truth, guilt, liability or legal merits of a report.
3. Constitutional and statutory context
ReportIt™ is designed to support responsible participation, accountability, transparency, lawful public administration, procedural fairness and access to information. Nothing on the platform constitutes legal advice or a determination that a matter falls within the Constitution, PAJA, PAIA, POPIA or any other law.
4. Reports and user responsibilities
Users must provide information honestly and in good faith and should distinguish facts, observations, allegations and opinions. Users must not knowingly submit fabricated evidence, impersonate, deliberately mislead, harass, threaten, defame or misuse the platform.
ReportIt™ may assess submissions for completeness, relevance, apparent urgency, duplication, jurisdiction and appropriate routing, and may request clarification or restrict unlawful or abusive material.
5. PAJA — administrative justice
Where appropriate, ReportIt™ may help users document administrative complaints, organise evidence, track correspondence, formulate requests for reasons and identify possible escalation routes. PAJA applies only where its statutory requirements are met. ReportIt™ does not guarantee that PAJA applies, that reasons will be supplied, or that a decision will be reviewed or changed.
Use of ReportIt™ does not replace internal remedies, statutory review procedures, tribunals, regulators or court proceedings. Users remain responsible for applicable deadlines and procedures.
6. PAIA — access to information
ReportIt™ may assist with organising or tracking information requests. PAIA has its own statutory procedures, requirements, exemptions, fees and time periods. ReportIt™ cannot compel a public or private body to disclose information or guarantee an outcome.
Requests for information held by ReportIt™ will be handled under applicable law, including PAIA where applicable, subject to lawful grounds for refusal and third-party rights.
7. POPIA and personal information
ReportIt™ processes personal information in accordance with applicable data-protection law, including POPIA. The Privacy Policy and AI & Evidence Processing Notice provide further detail.
Users should avoid submitting personal or sensitive information unnecessary for a report, particularly information concerning children, health, criminal allegations, finances or identity documents.
8. Evidence Vault
The Evidence Vault may allow authorised users to upload, store, organise, index and review documents, photographs, audio, video, correspondence and other materials. Users retain ownership of submitted material, subject to permissions necessary for ReportIt™ to provide and secure its services.
Users must not knowingly submit altered, fabricated or misleading material as authentic evidence. Technical metadata, audit information and processing records may be retained where appropriate.
9. AI-assisted processing
ReportIt™ may use AI and automated processing for classification, extraction, transcription, summarisation, chronology generation, indexing and case-management functions. AI outputs may contain errors or omissions and must be reviewed before important reliance.
AI output is not a finding of fact, legal advice, legal representation, administrative decision or judicial determination.
10. Confidentiality and security
ReportIt™ will apply reasonable organisational and technical safeguards appropriate to the information processed. No electronic system can guarantee absolute security. Information may be disclosed where required or permitted by law, necessary to provide requested services, protect rights or safety, or otherwise authorised.
11. Anonymous and confidential reporting
Where offered, anonymous reporting means ReportIt™ is not intended to know the reporter’s identity; confidential reporting means ReportIt™ may know it but limits disclosure according to controls and law. Neither guarantees statutory whistleblower protection or immunity from legal process.
12. Memberships and subscriptions
Free, Basic and Premium memberships may have different features and permissions. Paid subscriptions may renew automatically until cancelled, subject to applicable subscription and payment terms. Access may be suspended for failed payment, abuse, security concerns or material breach.
13. Payments
Payments may be processed by third-party providers such as PayFast. ReportIt™ does not intend to store complete payment-card credentials such as a full card number or CVV.
14. Service providers
ReportIt™ may facilitate access to independent lawyers, mediators, investigators, consultants or other providers. Unless expressly stated, such providers act independently and remain responsible for their own professional services and obligations.
15. Acceptable use
- No unlawful, fraudulent, malicious or abusive use.
- No deliberate submission of fabricated or misleading material.
- No unauthorised access, interference, scraping, reverse engineering or security testing.
- No unnecessary publication or disclosure of another person’s private information.
- No harassment, threats, stalking or intimidation.
- No circumvention of membership, access-control or security restrictions.
16. Intellectual property
ReportIt™, branding, software, platform design, databases and original content are protected by applicable law. Users retain ownership of submitted materials, subject to limited rights required to host, process, secure and deliver requested services.
17. No guarantee of outcome
ReportIt™ cannot guarantee that a report will be investigated, accepted, acted upon, resolved or decided in a user’s favour. ReportIt™ provides process, documentation, tracking and escalation functionality; it does not promise a particular legal, administrative or institutional outcome.
18. Limitation of liability
To the extent permitted by law, ReportIt™ is not responsible for acts or omissions of third parties, public bodies, institutions, service providers or users, inaccurate user submissions, or reliance on unreviewed AI output. Nothing excludes liability that cannot lawfully be excluded or limited.
19. Governing law
These Terms are governed by the laws of the Republic of South Africa, subject to mandatory rights and remedies.
